FAQ About Business Mailing Addresses 

We have three different business locations available for you to choose from, 180 Piccadilly W1, 50 Jermyn Street SW1 and Blackwell House. Details of each location are listed in our brochures and can be found on our website www.voffice.com 

Yes, when setting up the account you will be asked for the Company Name, Trading Name, Names of Directors in which any letters or packages received under the confirmed names will be identified and sent to you.

Mail is forwarded as per your instruction, each of our clients have their own management record on our data base, instructions held on these records are used to manage your mail. 

Any mail received with “your company name”, associated company or trading name i.e any abbreviation, your name or family name, will be managed as per your instructions.
If we receive any items without identifiable company or trading names or family name that we cannot allocated, these items will be returned to sender. 

Absolutely, if you wanted to collect your mail as oppose to having it redirected, post can be collected from Monday  – Friday from 9am – 3pm. If you wish to collect mail after this time you will need to arrange this with our postal team onsite before 3pm.  

Yes, you are able to change your mail forwarding address at any time, if you want to update the address your mail is being forwarded to, please send us an email to info@voffice.com Our Business Mailing Address service requires that you provide proof of address for any locations post is forwarded onto. 

You can only use our address to register your business with Companies House, if you have a business mailing address service with us. 

A Business mailing address is different to a registered office address. With a Business Mailing Address service, you get to use our London address as your business mailing & trading address to market or advertise your company, you can receive letters from your bank, clients, or customers and other institutions.   You are not permitted to use our Business Mailing Address service for as your Registered Office without prior commitment and authorisation from us. 

We have legislative obligations under the London Local Authorities Act 2007, Companies House and HMRC and are required to keep records, which are audited and monitored regularly.  All clients who use virtual offices and mail forwarding services are required by law to provide a copy of their identification and proof of address accordingly. By complying with the legislation this also reduces the risk of fraudulent companies using the same virtual business address as you, which has always been a major objective of ours. 

Set up is quick and easy it takes approximately 24-48 hours for us to review your sign-up application and set up your account, once we have carried out our due diligence and you have paid your invoice, you can start using your new mail forwarding address.

With our personalised Telephone Answering Services, our professional receptionists answer your calls in your company name and if required, forward them to any location. Services can be set up in a matter of hours, it’s the perfect way to give your business a professional and established presence, especially when used in conjunction with our Business Address service.

FAQ Telephone Answering Services

Callers who wish to leave messages for you will be offered your personalised voicemail to leave a message or we will leave a message on their behalf, messages are then sent to you seamlessly by email via our unified messaging system. You can then play the message from your email.

We can allocate to you a unique number, you can then present this number as your new business number or redirect your calls to this number for our Team to answer your calls.

Each of our clients have their own diary management record on our data base, which is screen popped once your unique number is dialled Our Receptionists answer the calls as per your custom call script while taking their name, and company and any relevant information required to transfer the call or to take a message. 

Our answering rate currently is 98.5% within the average ring time of 4 rings. 

All calls are answered in your company name. 

Diverting your calls to us is simple and easy, you will need to decide whether you want:
1. All calls to be diverted
2. All calls to be diverted if your line is busy.
3. All Calls to be diverted after a certain number of rings

Of course. You can choose to use the diverting option only when you want our team to take your calls.

Each of our clients have their own diary management record on our data base, which is screen popped once your unique number is dialled.  Call handling instructions held on these records are used to manage the call.

Monday to Friday 9am to 5.30pm

Of course we can provide you a telephone answering service. We will still need to allocate a unique number. You will then have to instruct your existing phone service provider to divert your calls to the new number we have given you.

FAQs About Setting Up A Virtual Office Service

Our terms are based on monthly rolling contracts, offering you flexibility. However, there are options to pay annually, with this option you would pay for 11 months service rather than 12 months. 

Your initial set up invoice will invoice you 2 months in advance and thereafter you will always be invoiced one month in advance so that your service charges are always covered.

It takes approximately 24 to 48 hours on average to set up your account once you have made your payment and completed the Application form and registration process.

We hold a £300 fully refundable deposit against every account; this deposit is fully refundable following cancellation of your contract. This is only to ensure that you meet our monthly terms and conditions. 

You are required to provide us with one full calendar months’ notice in writing, if you wish to cancel your annual account, you can do so at any point, however providing the standard notice period of one full calendar months’ notice. We require a full calendar month notice sent to our email: team@voffice.com

Our costs are fully transparent, there are NO Hidden costs or additional fees, which are not clearly mentioned in our literature and terms and conditions.

There is a small setup charge which is a one-off fee of £100.
